Position Title: Feline Coordinator

Position Summary: The Feline Coordinator abides by and actively supports the vision, mission and values of Safe Place. The Feline Coordinator acts in the best interests of the Felines in program, and those that may come into program. The Feline Coordinator is a liaison between the surrenderer of a pet, the Safe Place Program, and any/all potential adopters for our pets. They will be supervised by the Placement Coordinator.

The Feline Coordinator acts on potential intake information provided by the Intake Coordinator. The Feline Coordinator explains to the potential surrenderer how our program works, to set the process in motion for a successful conclusion. The Feline Coordinator works with the foster volunteers to create a scenario where both pet and foster are good fit. The Feline Coordinator stays in contact with the foster volunteers to be aware of potential problems/struggles, health concerns, financial issues, and/or updates on pet and foster. The Feline Coordinator acts on potential adopter information provided by the Intake Coordinator.

Tasks include:

  • Responding to potential surrender and adoption leads from the Initial Contact Coordinator.
  • Coordinating intake of pet (including pictures), if human and pet meet the Safe Place mission.
  • Providing a synopsis of pet from conversations and intake including pictures to Cattery Coordinator, Website Coordinator, Intake Coordinator, Foster Coordinator, and Safe Place Board within 24 hours of intake.
  • Communicate with Cattery Coordinator regarding new intakes’ requirements or special needs.
  • Confirming and updating the Pet Bio based on information from foster.
    Attending Placement Committee meetings and training sessions as scheduled .
    Contacting Foster Coordinator with any new foster parent potentials.
  • Ensuring a completed pet packet is submitted to the Placement Coordinator.
  • Contacting Placement Coordinator with pet updates/questions.
  • Submitting pet adoption donations to Treasurer within 1 week of receiving them.
  • Approving pet expenditures per pet up to $400 (over that must go to the Board) and recommending vet visits, when necessary, for our in-program pets.
  • Staying in contact with our current fosters (checking in, confirming pet well-being, obtaining new updates and pictures of pets, preventing foster burn-out, being aware of vacations and foster coverage needed).
  • Reporting volunteer hours every month.
  • Using donated supplies, when possible, rather than purchasing new.

 

Position Title: Canine Coordinator

Position Summary: The Canine Coordinator abides by and actively supports the vision, mission and values of Safe Place. The Canine Coordinator acts in the best interests of the canines in program, and those that may come into program. The Canine Coordinator is a liaison between the surrenderer of a pet, the Safe Place Program, and any/all potential adopters for our pets. They will be supervised by the Placement Coordinator.

Position Title: Facility Manager

Position Summary: The Facility Manager will maintain and stock the Safe Place for Pets facility. The Facility Manager will need to communicate with the Board, Cattery Coordinator, and the Landlord as appropriate. This volunteer abides by and actively supports the mission and values of Safe Place for Pets. They will be supervised by the Safe Place for Pets Board.

Tasks include:

  • Work with the Cattery Coordinator and Store Manager to keep the facility in working order.
  • Regularly check locks, lights, furnace, air conditional, water, garbage, etc. for any maintenance needs.
  • Inventory items in storage shed regularly. Maintain an inventory list in the storage shed and office files.
  • Be available to handle issues at the facility.
  • Communicate with the landlords about issues that they are responsible for.
  • Create and document the facility policies and procedures.
  • Monitor that all facility policies and procedures are followed.
  • Inventory supplies needed for the facility and request supplies when needed. First ask Volunteer Coordinator to send out a plea for items and then purchase if they are not donated in a reasonable amount of time.
  • Request reimbursement for items purchased for the facility by following the Check Request Procedures.
  • Turn all hours worked into Volunteer Assistant. An email will be sent monthly asking for hours.
  • The Facility Manager will maintain the Safe Place for Pets facility and storage shed.
  • This volunteer abides by and actively supports the mission and values of Safe Place for Pets.
  • They will be supervised by the Safe Place for Pets Board.

Requirements:

  • The Facility Manager will need to communicate with the Board, Cattery Coordinator, Store Manager, and the landlords.
  • This volunteer must have access to a computer with Microsoft Office (including Access), e-mail, and a printer.
  • This volunteer must have access to a telephone which will be used to contact Safe Place for Pets volunteers and the landlords.

 

Position Title: Volunteer Coordinator

Position Summary: The Volunteer Coordinator will recruit, train, and support volunteers for Safe Place. This volunteer abides by and actively supports the mission and values of Safe Place for Pets. This is a Board of Directors position. This volunteer must have access to a computer with Microsoft Office (including Access), e-mail, and a printer. This volunteer must have access to a telephone which will be used to contact Safe Place for Pets volunteers.

Tasks include:

  • Recruit new volunteers for Safe Place for Pets.
  • Maintain records for prospects, current and archived volunteers. Track all volunteer information. Respond to all inquiries through email or phone calls about volunteering.
  • Set up an interview, decide if they will be accepted and work with volunteer to find the best fit in the organization.
  • Maintain volunteer contact and email lists and update regularly in Dropbox.
  • Work with Development and Marketing to coordinate volunteers for events.
  • Respond to each volunteer request and work with requester on coordination.
  • Provide orientation classes for volunteers and board members.
  • Attend all board meetings and support functions that include volunteers.
  • Assist other managers and coordinators develop training for their volunteers.
  • Coach all Safe Place volunteer requesters on how to work with volunteers.
  • Maintain recognition, appreciation and communication for volunteers.
  • Dismiss volunteers that are not working in the best interest of Safe Place for Pets and the mission.
  • Collect and record all volunteer hours monthly. There is currently a Volunteer Assistant doing this.
  • Make sure Volunteer Assistant is supported and has current volunteer information.
  • Provide a Volunteer Report to the board each month.
  • Create and maintain a volunteer budget to be updated at quarterly finance meetings.
  • Turn all hours worked into Volunteer Assistant. An email will be sent monthly asking for hours.

Requirements:

  • This volunteer must have access to a computer with Microsoft Office (including Access), e-mail, and a printer.
  • This volunteer must have access to a telephone which will be used to contact Safe Place for Pets volunteers.

 

Position Title: Foster Coordinator

Position Summary: The Foster Coordinator will coordinate volunteers to foster animals that cannot be housed at the facility, or need special attention requiring foster care. The Foster Coordinator will work with the foster families to maintain the health and wellness of pets while in the program. This volunteer abides by and actively supports the mission and values of Safe Place for Pets. They will be supervised by the Placement Coordinator.

Tasks include:

  • Work with the Placement Coordinator to organize fosters.
  • Coordinate with the Feline and Canine Coordinators to get an animal into a foster home as appropriate.
  • Document and maintain the foster policies and procedures.
  • Monitor that all foster policies and procedures are followed.
  • Maintain compliance with PACFA regulations to ensure Good Standing.
  • Maintain a list of trained and informed foster families to contact.
  • Inform the Volunteer Coordinator of new fosters.
  • Train new fosters and coach current fosters on any procedures.
  • Communicate with fosters on a regular basis and be available for foster related issues.
  • Communicate with Placement Coordinator regularly and provide input for the Placement Report.
  • Communicate any foster supplies needed for the fosters to the Placement
  • Turn all hours worked into Volunteer Assistant and remind foster families to report their hours as well. An email will be sent monthly asking for hours.

 

Position Title: event Coordinator

Position Summary: The Event Coordinator designs, directs, and implements the development strategy for Safe Place for Pets. The Event Coordinator works with volunteers, current and potential partners, and key stakeholders to promote the mission. This volunteer abides by and actively supports the mission and values of Safe Place for Pets. This is a Board of Directors position. This volunteer must have access to a computer with Microsoft Office (including Access), e-mail, and a printer. This volunteer must have access to a telephone which will be used to contact Safe Place for Pets partners, funders, and volunteers.

Tasks include:

  • Direct and implement Safe Place for Pets’ event participation strategy, with direction of the Board.
  • Work to recruit and train volunteers to work events and concisely articulate an accurate mission and vision of Safe Place.
  • Work with Marketing to address promotion of special events/campaigns in social and mass media.
  • Leverage networking opportunities shamelessly to develop resources & relationships for the organization, including in-kind resources.
  • Work with the Board to maximize development opportunities at community events.
  • Work with the Website Coordinator to leverage the website as a promotion tool.
  • Work with Feline and Canine Coordinators to schedule available pets for adoption fairs and other events as appropriate.
  • Coordinate with Marketing, Social Media and Website Coordinators to advertise and promote all events.
  • Work with Marketing to manage event budgets and costs associated with event planning.
  • Ensure that all volunteers follow the event protocol and return all event supplies to the facility within week after the event.
  • Other related duties as needed.

 

Position Title: Vice President

Position Summary: The Vice President abides by and actively supports the vision, mission and values of Safe Place. The Vice President will support the President and fill in for the President as needed or requested. This is a Board of Directors position. This volunteer must have access to a computer with Microsoft Office (including Access), e-mail, and a printer. This volunteer must have access to a telephone which will be used to contact Safe Place for Pets partners, funders, and volunteers.

Tasks include:

  • Uphold and promote the mission, vision and values of Safe Place.
  • Help the President plan and facilitate all board meetings.
  • Assist and fill in for the President duties as necessary.
  • Actively participate in decision making.
  • Maintain Safe Place committee minutes, agendas, etc. and be responsible for any supplies or equipment you have.
  • Assist in delegating and following up on designated duties to committee members and to other board members.
  • Attend committee meetings as requested.
  • Assist in maintaining all important documents for Safe Place to ensure compliance with all rules and regulations.
  • Encourage and recruit new board members to fill vacancies.
  • Assist in maintaining correspondence received through email, voice mail, and post office box.
  • Promote Safe Place in the community by partnering with other organizations.
  • Maintain frequent communication with board members, especially officers.
  • Lead board donations to the annual campaign.
  • Provide leadership to all of Safe Place and be accessible for governance.
  • Turn volunteer hours into SP Volunteer Assistant every month.
  • Attend monthly board meetings.

 

Position Title: Cattery Deep Cleaning Mopping Volunteer

Reporting Relationship: Reports to Cattery Coordinator

Position Summary:

  • The Cattery Deep Cleaning (DC) Mopping Volunteer will provide weekly deep cleaning mopping at the Welcome Center.
  • The Cattery DC Mopping Volunteer works in coordination with the Cattery Coordinator.
  • This volunteer abides by and actively supports the mission and values of Safe Place for Pets.
  • This volunteer is supervised by the Cattery Coordinator.

Position Description:

  • The Cattery DC Mopping Volunteer will mop the Welcome Center facility using the designated disinfecting solution and following the defined mopping procedure.
  • The Cattery DC Mopping Volunteer will coordinate weekly mopping with the Cattery Coordinator and scheduled volunteers to avoid interference with cat care shifts and to ensure all cats are confined for the mopping duration.
  • This volunteer must have access to a computer with Microsoft Office, e-mail, and a printer.
  • This volunteer must have access to a telephone which will be used to contact Safe Place for Pets volunteers.

Tasks include:

  • Vacuum the complete Welcome Center facility weekly in preparation for DC mopping.
  • DC mop the complete Welcome Center facility weekly.
  • Move kennels away from walls to vacuum and then mop the areas under the kennels.
  • Dust the kennel sides and tops when kennels are pulled away from the walls.
  • Complete DC mopping log.
  • Clean and store mopping supplies.
  • Return cattery items and cat gear to their correct places.
  • Let out ambassador cats identified by the cattery volunteer.

Essential Skills:

  • Physical fitness for vacuuming, mopping, and moving kennels; team player; strong communication skills.

 

Position Title: Website Assistant

Position Summary: Provide support and backup for the Website Coordinator.
 
Position Requirements:
  • Possess basic knowledge of WordPress, HTML, CSS, and JavaScript.
  • Provide content, solutions and modifications for website as needed.
  • Willing to commit 2-4 hrs. per week for website maintenance.
  • Volunteer abides by and actively supports the mission and values of Safe Place for Pets.
  • Volunteer will be supervised by the Website Coordinator and the Safe Place for Pets Board.
 
Tasks include:
  • Actively refresh Home page content.
  • Modify photos to meet website standards.
  • Add new pet profiles and update existing pet profiles as changes occur.
  • Maintain external websites.
  • Assist with special projects throughout the year, i.e., fundraising, special events.
  • Make changes in a timely manner.
